What You Get
Once connected, your AI assistant can:- Check real-time availability — Your assistant queries your live Calendly availability during calls.
- Support multiple event types — If you have different meeting types set up in Calendly (e.g., “15-Minute Consultation”, “1-Hour Service Call”), VozAgent sees them all and shows their names and durations.
- Generate scheduling links — Your assistant can provide callers with a personalized Calendly booking link to complete the appointment.
- Send appointment notifications — You receive notifications when appointments are booked or cancelled through Calendly.
Prerequisites
Before you begin, make sure you have:- An active Calendly account with at least one event type configured.
- You are logged in to VozAgent.
Connecting During Assistant Setup
The quickest way to connect Calendly is during the assistant creation wizard:- In the Set up appointment booking step, turn on the Appointment Booking toggle.
- You’ll see four calendar provider buttons. Click Calendly.
- Click the Connect Calendly button that appears.
- You’ll be redirected to Calendly’s authorization page. Sign in with your Calendly account if prompted.
- Calendly will ask you to authorize VozAgent to access your account. Review the permissions and click Allow (or Authorize).
- You’ll be redirected back to VozAgent. A success message confirms “Calendly connected!” and you’ll see a green checkmark with “Connected to Calendly” displayed.
- Continue through the wizard to set your availability hours and appointment duration.
Connecting from the Integrations Page
If your assistant is already set up and you want to add Calendly afterward:- Navigate to Integrations in the sidebar.
- Find the Calendly card and click on it to open the Calendly integration page.
- The page shows a Connection Status card. Click Connect Calendly.
- Follow the same Calendly sign-in and authorization flow described above.
- Once connected, the page updates to show a green “Connected” badge and your Calendly account email address.
Event Types
After connecting, VozAgent automatically imports your Calendly event types. You’ll see them listed on the Calendly integration page under Available Event Types, each showing its name and duration in minutes (e.g., “30 Min Meeting (30 min)”). Your assistant uses these event types to understand what kinds of appointments you offer and how long they last.How the Booking Flow Works
When your Calendly account is connected and a caller asks to schedule an appointment, here’s what happens:- Caller requests an appointment — The caller asks about scheduling during the call.
- Assistant checks availability — Your assistant queries your Calendly availability in real time.
- Slots are offered — Available times are presented to the caller.
- Booking link is sent — The caller receives a personalized Calendly link to complete the booking, or the appointment is booked directly depending on your configuration.
Viewing Calendly Appointments
Appointments booked through Calendly appear on your VozAgent Calendar page alongside appointments from other providers. Click any event to see the full details. The provider badge on each event shows “calendly” so you can easily tell which appointments came from Calendly versus other calendar integrations. If you need to disconnect your Calendly account:- Go to Integrations in the sidebar and click Calendly.
- Click the Disconnect button (shown in red).
- A confirmation dialog will appear: “Your assistants will no longer be able to check your Calendly availability or help schedule appointments. You can reconnect at any time.”
- Click Disconnect to confirm.
